Below you will find the data we collect and for what purposes we use it. You can also see what your rights are, who has access to your data, and how long it is kept.
Data that Outside the Box Collects About You

- Your account data, such as your email address, account status.
- Your payment data, such as your billing address and payment method.
- Your transaction data regarding the purchase of Outside the Box products and services.
- Other data you provide us, such as the content of communications with Outside the Box, contacts with our customer service and on social media.
Contact by Phone
If your phone number is in our customer database, our staff can automatically see your customer data. This is so we can serve you faster and more efficiently.
During a conversation, we may add notes to your personal data in our database. This way, we can provide better follow-up to these conversations. We do not record our phone conversations.
Newsletters and Emails
We send you different types of emails, particularly following a purchase you have made or in response to a question you have asked us.
In addition, we also send you general emails (which we call "newsletters"), but only when you have subscribed (what is called "opt-in"). When you subscribe to one of our newsletters, we only save the data we need to identify you.
If you no longer want to receive one of our newsletters, you can unsubscribe online at any time.

We are of course delighted that you watch our content on social media, give us a "like" or follow us. We show you useful advertisements on social media about our new products or offers, based on your interests. This is possible through cookies.

Your Rights (and Ours)
What is the "Legal Basis" for Using Your Data?
According to data protection legislation, we must indicate on what "legal basis" we use your data. We need your data due to contractual agreements between you and Outside the Box, such as the purchase of a product or service.
Think in particular of:
- Preparation of quotes
- Order confirmation
- Contractually required information about the service
We may also use your data in a "legitimate interest". This means that we want to offer all our customers a service that is as optimal and personal as possible. This applies, among other things, to: surveys, contact with our customer service, visits to our site, newsletters and emails, personal advice, and social media.
We may also have a legal obligation to use your data, particularly when we suspect a case of fraud.
Who Has Access to Your Data?
Within our company, everyone has access to your information to a certain extent. Our staff do everything in their power to respect your privacy.
In some cases, we also share your data with other parties:
- Partners: when you purchase a product from us, your data may be shared with our partners.
- Subcontractors: when we want to send you a postal delivery or a specific service, we regularly use processing companies.
- Data management platforms, advertising and media agencies, and research firms: occasionally, we call on external companies to help us. In this case, we give them access to statistics from our site(s) and our social media accounts.
However, the following rule always applies: the parties to whom we give access to your data can only use it to provide you with a service on behalf of Outside the Box. Your data is never sold to third parties.
Where Do We Store Your Data?
Your data may be located in one of these places:
- Paper archives: Supporting documents for financial transactions (such as invoices) are not only kept digitally, but also on paper. We keep them for at least 10 years. These archives are kept safely, under lock and key.
- Temporary paper printouts: Sometimes it's simply easier to have a paper copy. If this document contains personal data, it is destroyed using a shredder after use.
- Digital medium: We record your data in databases while respecting strict security measures. This is why your data is almost always stored within the European Union. In the exceptional case where customer data is transmitted to countries outside the European Union, we ensure adequate respect for your privacy.
How Long Do We Store Your Data?
The length of time we keep your data depends on the relationship we have with you.
- If you purchase a product or service: We do not delete your data from our database. We do this for security reasons.
- If you request information: After ten years of inactivity, we delete your data.
- If you subscribe to a newsletter: You can manage this subscription yourself online.
- If you apply: We delete data relating to your application no later than 1 month after the end of the recruitment procedure.
The Belgian tax administration requires us to keep your invoicing, payment, and order data for 10 years. After that, we only use anonymous data for internal reports.
What Are Your Rights?
You remain in control of your data. To exercise your rights, please contact us at: moon@outsidebox.agency
Your rights include:
- Right of access: Do you want to view your personal data free of charge or receive a copy?
- Right to rectification: Do you want to modify your data?

- Right to portability: Do you want to transfer your data?
- Right to object: You can object to the use of your data for commercial purposes.
You can easily unsubscribe from newsletters. And if you no longer want any cookies? You can also manage that yourself.
We want to make sure it's really you. That's why we may ask you for additional information to determine your identity.
